When a name goes missing

A few summers ago, a local service business rang us in a panic. Their website had vanished, their emails had stopped, and their booking system was offline. They assumed it was a server problem. It wasn’t. Their domain — the very name their customers typed every day — wasn’t in their name at all.

It had been registered years earlier by a well-meaning contractor. The registration email went to an old address, the renewal notice was missed, and another party picked it up. Overnight, their identity online simply disappeared.

What “ownership” really means

Owning your domain isn’t about paying for it. It’s about being listed as the registrant contact — the person or business with the legal right to that name. Your registrar sends renewal notices to that contact, and any changes to DNS or hosting rely on it.

If your designer, IT provider or an old employee registered it for you, the contact details might not be yours. You may still be paying the bills but have no real control.

It’s like having your business name on someone else’s paperwork — everything works fine until you need to make a change.

How to check if you’re in control

It only takes a few minutes to confirm.

Go to a WHOIS lookup site (such as whois.domaintools.com) or log in to your registrar’s account. Look for the registrant name or organisation. If it doesn’t show your business name or ABN, it’s time to update it.

While you’re there, make sure the renewal email is current and that your payment details are up to date. Set a calendar reminder a month before expiry so you never rely solely on automated notices.

If you can’t access your account, ask whoever manages your website where the domain is registered and which email address receives renewal notices. Those details belong in your business records — not just in one person’s inbox.

Keep a single record of the essentials

Once you’ve confirmed ownership, capture it.

  • your domain registrar

  • the date it renews

  • the admin contact email

  • your DNS host (where your website and email point)

  • where login details are stored securely
